Administrative Assistant-Enrollment Services

Position Summary:
Under limited supervision and general direction perform and/or supervise a variety of responsible office duties in support of the day-to-day operation of a major departmental unit recruiting prospective students.
Requirements:Duties and Responsibilities:
Student Communications
Perform a variety of office duties in support of the day-to-day operation of the unit including but not limited to: letter generation, printing letter flow, and inventory of publications
Assist with department mailings to ensure efficiency and accuracy
Department Policy and Procedures
Develop and establish procedures for continuous updating of methods in maintaining training materials and weekly reports
Update/Create department policy and procedures in a prescribed format, content, grammar and neatness
Data and Reporting
Input and ensure accuracy of data for Enrollment Services including online inquiries, prospect cards and scholarship information
Perform routine duties such as word processing/typing, filing, verifying information and coordinating flow of documents
Operate computer to enter data, and run reports
Assist with the implementation of special events (on/off campus) as it relates to recruiting including but not limited to socials and preview days.
Participate in cross-training throughout the department
Perform other related duties as assigned
Minimum Job Requirements:
High school diploma or GED certificate and one year of office experience is required. Two years of office experience preferred. An Associate's degree or vocational or college secretarial or business courses may be substituted for up to two years of the required experience.
Knowledge, Skills and Abilities:
Proficient in Microsoft office suite (i.e. Excel, PowerPoint, Word, Access).
Knowledge of computerized systems (i.e. Banner, Argos, and EMAS Recruitment/Retention Pro)
Knowledge of the policies, programs, and academic structure of the University
Knowledge of office management policies, methods and procedures
Strong interpersonal and communication skills and the ability to work professionally and effectively with a wide range of constituencies in a diverse community
Ability to establish and maintain cooperative working relationships with faculty, administrators and others
Ability to meet deadlines while working in an environment of constant interruptions via e-mail, telephone and walk-in traffic
Ability to perform routine and moderately complex clerical tasks accurately
Ability to understand and convey procedures and regulations established
Ability to maintain confidentiality of records and information
Ability to communicate effectively, both orally and in writing
Ability to work independently, exercise creativity, be attentive to detail, and maintain a positive attitude
Working Conditions:Physical Demand and Working Conditions:
Work is performed during normal work hours but may require some evening or weekend hour
Work is sedentary in nature that at times requires exerting up to 25 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
