Assistant Registrar

Position Summary
Under limited supervision, evaluate transfer transcripts submitted by students in preparation for enrollment, degree planning and advisement. Review, analyze and verify degree data according to established guidelines and abide by the policies and procedures within the unit.
Requirements:Duties and Responsibilities:
Provide timely and accurate information in the development of articulation resources
Evaluate academic transcripts electronically from colleges and universities in preparation for enrollment to the university, degree planning and academic advisement
Process articulated courses into the student information system and the transfer articulation database
Research and review transfer courses and make recommendations for the determination of course equivalencies
Maintain the transfer articulation database module and student information system (TES and Banner)
Communicate with transfer students and college advisors/counselors regarding information about the core numbering system and the respective roles in articulation and course equivalencies
Train employees on the proper utilization of student information systems
Maintain and interpret procedures related to degree audit within the University policies
Audit degree plans and revise as needed to ensure compliance with University requirements
Responsible for final application and degree plan processing for degree clearing and commencement
Respond to student inquiries pertaining to graduation status and graduation program advisement via telephone, e-mail, and regular mail
Research new and revised information regarding degree requirements through University catalog, academic departments, or the Curriculum and Articulation as needed
Implement and maintain the CAPP and TES student systems for degree verification and articulation
Organize and maintain office files and student records including confidential materials
Issue diplomas to graduated students as needed
Greet and assist students, faculty, staff and the public by providing information relative to the area assigned
Advise students, faculty, staff and others relative to office policies, procedures and academic
Supervise the coordination, evaluation, and certification of all graduation applications, while overseeing the complete graduation audit process and production of diplomas
Provide leadership to staff members and in processes affecting operational functions from graduation application to degree audit
Supervise, organize, revise, and implement cross training throughout the department
Perform other duties as assigned.

Minimum Job Requirements:
A Bachelor's degree and a minimum of 6 months of experience in higher education.
Knowledge, Skills and Abilities:
Knowledge of the policies, curricula, and academic structure of the University
Knowledge of the general format, content and use of college course catalogs
Knowledge of office management policies, methods and procedures
Strong interpersonal and communication skills and the ability to work professionally and effectively with a wide range of constituencies in a diverse community
Ability to independently interpret a wide variety of policies and procedures
Ability to establish and maintain cooperative working relationships with faculty, administrators and others
Ability to meet deadlines while working in an environment of constant interruptions via e-mail, telephone and walk-in traffic
Knowledge of course disciplines, educational units, and educational history
Knowledge of transfer credit articulation agreements
Knowledge of organizational structure, workflow and operating procedures
Knowledge of computerized student information systems
Project management and organizational skills and the ability to work as a team player
Ability to communicate effectively, both orally and in writing
Ability to work independently, exercise creativity, be attentive to detail, and maintain a positive attitude
Ability to manage multiple and simultaneous responsibilities and to prioritize scheduling of work
Ability to understand and interpret the history, mission, and goals of the University to students and other constituent groups

Work is sedentary in nature that at times requires exerting up to 25 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
